Setup
Enabling the Time Clock
- To use the Time Clock feature, you will need to enable the feature by accessing the Menu > Settings > Practice Setup > General from the sidebar.
- Expand Miscellaneous Settings.
- Click on checkbox for Use time clock.
- Click Save.
Configuring Clock Out Reasons
You can configure different clock out reasons for your employees. To do so use the following steps:
- To create clock out reasons, access Menu > Settings > Practice Setup > General from the sidebar.
- Expand Miscellaneous Settings.
- Click on Edit/Add link next to Clockout reasons.
- From here you can edit the name of an existing reason by selecting it from the drop-down menu and clicking Edit.
- You can add a new reason by clicking Add.
Use & Management
Clocking In
- Click on the time clock button in the upper right-hand corner of the screen.
NOTE: An employee does not need to be logged in under their username to clock in using the time clock. They can clock in under any username.
- This will bring up the following screen:
- The employee will need to enter their employee PIN.
NOTE: More information on the employee PIN can be found under the Adding a New Employee article.
- Leave the box checked off by Is Clock in?.
- Add any additional Comments.
- Click Save.
- You will get the following message letting you know you successfully clocked in:
Clocking Out
- Click on the time clock button in the upper right corner (same button used to clock in).
- Enter the Employee PIN
- Uncheck the box next to Is Clock in?
- This will give you a Clock out Reason box where you can choose from a list.
- Choose the correct Reason.
- Add any additional Comments.
- Click Save.
- You will get the following message letting you know you successfully clocked out:
Printing a Timecard
An employee can keep track of their own hours by printing their employee timecard.
- Click on the time clock in the upper right-hand corner (the same icon for clocking in and out.)
- Click Print Timecard.
- The screen below will display:
- Enter the employee PIN and the date range for which you wish to see your time clock entries.
- You will be prompted to open and/or save the PDF document.
- The resulting document will show you your time clock entries and total hours worked for the specified time frame:

Note: Only employees with the Business Owner or Business Manager role can view timecard entries for all employees.
- Go to Menu > Employees > Time Clock in the sidebar menu.
- Choose the practice if you have multiple, then choose the employee(s) from the drop down or select -All- and the specific date or date range, check the Show Hours Worked box and click search.
FAQ
How do I correct time clock / timecard entries?
Note: Only employees with the Business Owner or Business Manager role can edit timecard entries.
- Go to Menu > Employees > Time Clock in the sidebar menu.
- Choose the practice if you have multiple, then choose the employee from the drop down and the specific date or a date range in which the punch occurred, click search. Do not choose to Show Hours Worked.
- You can edit an existing entry from here by clicking on the Edit pencil or click the Add Entry to add a new entry for the employee.
- If the time clock entry was marked as Is clock In but it was meant to be a clock out entry, edit the entry and uncheck Is clock in.
- This will update the entry to a clock out entry and allow you to choose the clock out reason.
