The Calendar Settings can be accessed on the Overview page and the Calendar section. The Calendar section includes other features such as Appointment Types, Confirm and Visit Status, Calendar and Grooming Resources. This article will guide you through the basic calendar settings.

Set up Time Settings

Calendar start time (week/day/resource view): Calendar start time. Note: This does not apply to the monthly view.

Calendar end time (week/day/resource view): Calendar end time. Note: This does not apply to the monthly view.

Minutes Interval: How the calendar is divided. Example: Setting this to "15" will set calendar blocks for the 9:00 am hour from 9:00 to 9:15, 9:15 to 9:30, 9:30 to 9:45, and 9:45 to 10:00.

Set up Sections (Calendar View)

Enable resource view: Sets the calendar to show appointments by provider. Note: Useful in practices with multiple providers.

Enable groomer resource view: Enables the groomer resource view. Note: Useful for practices with multiple groomers or grooming rooms and resources.

Automatically collapse calendar: Keeps the calendar minimized upon loading the Home page. Note: Useful for practices who prefer to click on the calendar to open.

Hide boarding reservations from calendar: Removes boarding reservations from the calendar view.

Show flat list of appointments: This will show a list of all appointments in process or not yet started in a list above the calendar.

Automatically expand flat list of appointments: If "Show flat list" is selected and this one is not, the flat list collapses by default. This will set the list to be expanded by default.

Hide future incomplete appointments: Removes future incomplete appointments.

Default calendar view: The default view displayed for the calendar. Note: Recommended to use the Resource view for multi-provider practices.

Default appointment type used by filter: Default displayed appointment type in the filter. Note: Recommended to select "Show all" to see all scheduled appointments.

Default appointment type used for appointment creation: The default appointment type when creating a new appointment.

Default primary provider used for appointment creation: The default provider when creating a new appointment.

Check for conflicting appointments when creating or saving (boarding is excluded): This will prompt the user when there are existing appointments with conflicting times. If the appointment has a provider assigned, the system will only check for conflicting appointments for that provider.

Show option to copy appointment description to medical record during appointment creation: This will create an entry into the medical record when a visit is created. Note: Recommended to use visit statuses to copy to the medical record as this can occur at the time the patient is at the practice and not prior.

Disable appointment scheduling: This will disable the appointment flat list, Locations, and the Whiteboard. Client Search will be the default. Note: Recommended for practices not using a calendar.

Show appointment type in calendar appointment instead of the provider name: This option will display the patient's name, visit description, and appointment type. Note: Recommended for practices using the Resource view or single provider practices.

Send email to client when appointment is scheduled: Sends the client an email using the selected template for newly scheduled appointments.
