Question: How can I cancel or suspend a Wellness Plan?
Access any wellness plan associated with a patient within their medical record under the Wellness Plan tab by clicking on the pencil icon to edit.
Cancel a Wellness Plan
The act of canceling a plan is similar to that of deletion. Once a plan status has been set to Cancelled it cannot be undone and no further changes to the plan can be made. Future scheduled payments associated with the plan will also be canceled and will not process on the scheduled payment date.
Simply click on the Cancel Plan option from the edit plan screen to cancel the wellness plan associated with the patient.
A pop up will display which allows for a cancellation reason to be assigned to the plan. Allowing for a historical view as to why the plan was canceled (example: owner moved, patient deceased, the wrong plan enrolled). Cancellation reasons are pre-set, however can be modified to suit your specific practice's needs.
Wellness Plan Cancellation Reasons
Click on the gear icon for Settings then navigate to Packages. Within the Package Management screen click on the option for Wellness Plan Cancellation Reasons.
Visibility and access to this link will be restricted to employees with rights for the Ability to modify packages.
There will be a series of pre-set cancellation reasons that are readily available for your practice to start utilizing this feature. However, from this screen, you can also add new reasons or modify pre-existing reasons to fit your practice's needs.
Click on the pencil icon to edit existing cancellation reasons or select the Add Cancellation Reason link to create customized reasons specific for your practice.
Suspend a Wellness Plan
The act of suspending a plan will suspend the use of services provided in the plan and place the plan on hold. No adjustments to the plan items can be made while in this status. Also, any discount available for non-plan items will not be applied while in this status. A practice may wish to use this feature in the event a client is overdue on payments towards their package.
Simply click on the Suspend Plan option from the edit plan screen to suspend the wellness plan associated with the patient.
A pop up will display to alert the user and confirm they truly wish to suspend the plan. Click on Suspend to proceed.
The add and edit icons associated with the Items visible on the plan page will now be disabled as items associated with a suspended plan are not consumable in this status.
When adding an item associated with a suspended plan outside of the plan screen, such as using Treatments, the item will be available for consumption but not in association with the plan and it will not apply the plan discount to the item. The item can be added to the patient's medical record at its standard price.
To remove the suspension of a wellness plan click on the Resume button from the edit plan screen. This will place the plan back into its prior status and allow for items associated with the plan to be consumable once again.
